Add Inventory During Product Setup

  1. When creating or editing a product, scroll to the bottom of the product screen.

  2. Enter the total inventory available across all sales channels:

    • POS

    • Online Store

    • Wine Club

  3. This reflects your overall stock before breaking it down by location.

Use this step to establish a global inventory count before location-level breakdown.

Track Inventory by SKU and Location

  1. Go to Products → Inventory.

  2. Each SKU (including each variant, e.g., 750ml and 1L Chardonnay) has one row showing Available, Committed, Reserved and On Hand, totalled across all your locations.

  3. To see each SKU broken out by location, use the Inventory Dashboard under Reports → Inventory.

This level of detail supports accurate tracking across multiple fulfillment sources.

Adjust Inventory in Real Time

  1. Go to Products → Inventory.

  2. Find the product, or search with Filter by Product/Sku.

  3. Click Edit Inventory on that row.

  4. Choose an Action:

    • Add: add stock (e.g., a new delivery)

    • Subtract/Remove: take stock out (e.g., subtract 3 for sampling)

    • Set: replace the count with a new number (e.g., change Tasting Room A from 200 to 300)

    • Transfer: move stock to another location

    • Reserve / Unreserve: hold stock so it can't be sold, or release it again

  5. Enter the Quantity.

  6. Under Inventory, choose the location to update.

  7. Add a Note explaining the change (required), for example "Sampling" or "Recount".

  8. Click Save. Total inventory across all locations updates automatically.

To see past changes for a SKU, click View Notes on its row. Quantity changes shows each add, set and removal with its note, and Transfers shows moves between locations.

Adjustments are instantly reflected in your product-level and channel-level views.

Set Up Locations

  1. Go to Settings > Locations.

  2. Add each location where your wine is stored or sold.

  3. These locations will become selectable in the inventory tab and linked to sales channels.

Set up multiple tasting rooms, warehouses, or retail partners as needed.
