Getting Started with Reservations V2

This article covers what needs to be in place before you build your first experience, and the order we recommend for setup.

Step 1: Check that Reservations V2 is on

Look for the Reservations V2 menus in your Corksy admin (View Daily Reservations, View All Reservations, Experiences, Booking Timeslots and Reservation Settings).

If you don't see the Reservations V2 menus in your admin, contact us in the chat and we'll check your account.

Your original Reservations tool (Reservations v1) stays available in your Corksy admin alongside Reservations V2 until January 1, 2027, and your v1 booking data stays viewable after that date. Bookings made in v1 aren't moved into Reservations V2 automatically.

Payment gateway

Online checkout in Reservations V2 works with PayEngine. Stripe support is coming soon, and we'll let Stripe customers know as soon as it's available.

Reservations V2 doesn't work with the Converge payment gateway. If your account uses Converge, contact us in the chat about moving to PayEngine before you start setting up V2. Start early, because the switch can take a few weeks.

Website widget

You add the Reservations V2 booking widget to your website yourself by following the video tutorial. Ask Cora in the chat in your Corksy admin for it. If you'd rather have us do it, Corksy offers a paid website implementation ($150 one-time). See Adding Reservations V2 to Your Website.

Step 2: Check your prerequisites

Reservations V2 uses records you already have in Corksy rather than duplicating them. Before you start, make sure you have:

Step 3: Follow the recommended setup order

  1. Confirm your locations.
  2. Make sure every host has a POS user.
  3. Enable those users as hosts in the Tour Guides section of Reservation Settings.
  4. Add sublocations (optional).
  5. Create reservation types.
  6. Add global blackout dates (holidays, closures).
  7. Create your experience: descriptions, duration, party size, images.
  8. Add ticket options and member pricing.
  9. Attach upsell products.
  10. Set booking rules: cutoff, advance window, and the waiver and 21+ labels. These labels are shown on the experience; guests don't sign anything online.
  11. Set the experience to Active so you can add timeslots.
  12. Create recurring or one-time timeslots. If saving a timeslot says "Complete all fields", choose a sublocation.
  13. Add the booking widget to a page on your website that's hidden from navigation, then test a booking as a non-member.
  14. Test a booking as a club member (signed in). Member pricing applies only when the member is signed in.
  15. Check the confirmation email.
  16. Confirm the booking appears in View Daily Reservations and View All Reservations. Reservations don't show on the customer's profile yet.
  17. Practice check-in, editing, a partial refund and a cancellation, then check your reports. Reservation revenue isn't in Orders or the Sales by Order report; use the Reservation Summary and Reservation Details reports at the bottom of Reservation Settings.
  18. When you're ready, add the booking page to your website's navigation.

Why Active before timeslots? Only Active experiences appear in the timeslot builder. An Active experience with Online Store ticked shows on any website page that has the widget, so keep the widget on a page that's hidden from navigation while you test.

Moving from another reservation system

If Corksy imported reservations from your previous reservation system, those bookings appear in Reservations V2 with a few limits. (This doesn't apply to bookings in the original Corksy Reservations tool.)

  • They are read-only. You can check guests in or cancel them, but not edit them.
  • They have no payment attached, so they cannot be refunded in Corksy. Handle refunds in your old system.
  • They count toward capacity for their timeslot.
  • Past imported bookings are marked Completed automatically.
  • Cancelling an imported booking does not send the guest an email.
