Reservations V2 Settings: Sublocations, Hosts, Types and Blackouts
Last updated: October 1, 2026
Set these up before creating your first experience. Go to Reservations > Reservation Settings, and use the location switcher to make sure you are in the right location.
Sublocations
Sublocations are bookable areas inside a location, such as Patio, Tasting Bar, Cave, Barrel Room or Private Room. They are optional, but they help with floor planning and host assignments.
To add one: open the Sublocations section, click Add, enter a name and save.
Note: If saving a timeslot says "Complete all fields", choose a sublocation for the timeslot. It's worth adding at least one sublocation for each location so this step doesn't hold you up.
Hosts (tour guides)
Only staff enabled here appear in host dropdowns.
- Open Reservation Settings and go to the Tour Guides section.
- Find the staff member. This list comes from your POS users.
- Toggle them on.
Someone is missing from the list? They need a POS user account first. Create the POS user, then come back and enable them.
Reservation types
Reservation types are categories for organizing and reporting on your experiences. Create the ones that match how you run your business, for example Tasting, Tour, Event, Workshop, Live Music or Private Event. Every experience is assigned one reservation type.
Blackouts
A blackout stops guests from booking during a date or time.
| Type | Blocks | Where to set it |
|---|---|---|
| Global blackout | Every experience at a location | Reservation Settings |
| Experience blackout | One experience only | Inside the experience's booking rules |
To add a global blackout:
- Click Add Blackout Date.
- Select the location.
- Add a name and description (staff only; guests don't see these).
- Choose the date.
- Choose All Day, or enter start and end times.
- Set it to Active and save.
Tip: After adding a blackout or closing a slot for a private event, open the website widget and confirm the date is unavailable to guests.
