How the Master Sales Report Works (Export → Refresh → Download)
The Master Sales Report is an asynchronous export — it does not display live data on screen. If you open the report and see "There were no records found," this does not mean no data exists. It means the report has not been exported yet.
To generate a Master Sales Report:
Go to Reports → Sales → Master Sales
Set your date range
Click Export (top right) — the report will begin generating in the background
Click Refresh to check the status of the export
Once complete, click Download to retrieve the file
Report generation time depends on how much data is being processed. For large date ranges, this can take several minutes.
⚠️ Known issue — date range not updating between exports: Some customers have reported that after generating one export, subsequent exports continue to use the original date range even after changing the date filter. If this happens, try refreshing the page before setting your new date range and clicking Export again. If the issue persists, message us from the chat in your Admin Portal and we'll pass it to the team.
What counts as Online? On the Product SKU Sales by Locations tab, Online means every order that wasn't rung up on the POS, not only website orders. Club orders go under Online, even when the member picks up at the tasting room, and they stay there if you add to the club order at pickup. A separate POS purchase shows under the tasting room location. For a product summary of Online orders only, filter the Location Name column to Online.
Fulfillment status on the Master Sales Report
Only the Sales by Order and Sales by Order Edit tabs have a Fulfillment Status column, and it shows the status the order had when it was placed or last edited, not its status today. For each order's current status, use Reports → Sales → Sales by Order, which matches the Orders page.
Sales by Associate and Commission Reporting
Corksy does not have a built-in "Sales by Associate" report. If you need to see sales broken down by team member — for example, to calculate commissions or review individual performance — the best approach is:
Go to Reports → Sales → Sales by Order
Set your date range and filter by Order Type: POS if you only want tasting room sales
Click Export by SKU to get a line-item breakdown, or Export for order-level data
In the exported file, filter or create a pivot table by the associate name or POS user column
The Export by SKU file has one row per product line, with Product SKU, Quantity Sold by SKU, Sales Associate, Secondary Sales Associate, Order Type, Order Subtype, Order Number, Inventory Location and Shipping State. Refunds show as their own rows, with an order number ending in -1 and a negative quantity, so totals are net of returns.
⚠️ Known issue — Export by SKU times out on large date ranges: Export by SKU can time out when the date range is large (for example, a full month). If the export spins or resets without downloading:
For shorter periods, break the date range into weekly periods and download each separately.
If you need a full month, a quarter or longer, message us from the chat in your Admin Portal. The team can generate the export for you.
For discount code tracking as part of a commission report (e.g., "all orders that used code SUMMERCLUB"), see Reporting on Discount Codes below.
Tip Reporting
There is a dedicated tip report in Corksy. To access it:
Go to Reports → POS → Tips
Set your date range
This report shows tips by sales associate and date, based on their POS PIN. It is the most accurate way to see which associate collected which tips over a given period.
If tips in this report don't match what you expect from the Sales Summary Report, note that the two reports may use different logic for how tips are attributed (e.g., time of transaction vs. time of batch close). If you see a significant discrepancy you can't account for, message us from the chat in your Admin Portal and we'll pass it to the team.
Reporting on Discount Codes
To see all orders that used a specific discount code:
Go to Reports → Sales → Sales by Discount
Set your date range and export
In the exported file, filter the Discount Code column for the code(s) you want
This report includes the discount code used, discount name, total orders, revenue collected, and other fields. It's the recommended path for tracking promotion performance or auditing how a specific code was used.
Filtering Sales by Time of Day
Corksy's reports include an Order Date column but no time-of-day column. If you need to analyze sales for a specific time window — for example, revenue from a 6pm–10pm event — the best approach is:
Go to Reports → Sales → Sales by Order, filter by Order Type: POS and your date, then export
In the exported file, use the order number as a proxy for time — POS orders are sequential, so the first and last order number of your event bracket the window
Filter by that order number range in Excel to isolate those transactions, then sum Revenue Collected (see export structure note below)
⚠️ Note on timestamps: If you're working with data pulled outside of Corksy's standard reports, order timestamps are stored in UTC. A 2:00pm local order may appear as 7:00pm in a raw export depending on your time zone. Always verify against the order number or the order detail page if exact timing matters.
A time-of-day column in the Sales reports has been submitted as a feature request.
Finding Expired Cards Before a Club Run
Corksy has a built-in report for this: Reports → Club → Expired Cards. It shows members whose credit card on file is expired so you can reach out proactively before charging.
If you also need to catch cards expiring this month before they lapse, use the Memberships export as an alternative:
Go to Clubs → Memberships
Export the membership list
Sort or filter the CC Expiration column in Excel to find any cards expiring within your target window
How do I get one total for each SKU over a period, such as year to date?
Go to Reports → Sales → Sales by Product Name, set the date range and click Export. The file has one row per SKU per day, so make a pivot table on SKU and sum Total Quantity and the revenue columns. For tasting-room sales only, Reports → POS → Sales by SKU already gives one row per SKU. Sales by Order → Export by SKU also works (pivot on Product SKU and sum Quantity Sold by SKU), but it can time out on long date ranges (see above).
Which report shows the fulfillment date with SKUs?
No single report has both. Sales by Order Export has a Fulfilled Date column, one row per order. Export by SKU has one row per product with Fulfillment Status and Tracking Number, but no date. Run both for the same date range and copy Fulfilled Date into the SKU file by Order Number (XLOOKUP or VLOOKUP).
Fulfilled Date is the day the order was marked fulfilled; an order fulfilled in more than one shipment lists each date. The date range picks orders by order date, so to find everything fulfilled in a period, use a wider range and filter on Fulfilled Date.
Which report shows the card brand?
No report shows the card brand (Visa, Amex) for each payment. To see the card brand each club member has on file, open the club package and click Export above the member list. The file lists each member's card brand and the last 4 digits.
Working with Exported Reports
A few things to keep in mind when working with Corksy report exports:
Filter before you export. Corksy lets you filter by Order Type, date range, and other fields before hitting Export. Narrowing the data first makes the file much easier to work with and reduces export time.
Use Export for order totals, Export by SKU for items. In Sales by Order, Export gives one row per order, and Export by SKU gives one row per item. To total revenue, use the order-level Export. If you work from the SKU file, don't add up order-level columns that repeat on each item row, or you'll overcount.
Sales by Order includes edits and refunds. The original order keeps its own row with its original amounts. Each later edit or refund shows as a separate row, dated the day it happened, with the order number ending in -1 (for example 541942-1) and amounts showing the change, negative for a refund. Add an order's rows together to get its current total. The separate Sales by Order Edit reports have been merged into Sales by Order.
Check the Report Definitions tab. Sales by Order exports include a Report Definitions tab that explains every column. Discounts from all sources are combined into one Discounts total, and bundle revenue is split across the products in the bundle.
Order Type filter is available live. In the Sales by Order report, you can toggle the Order Type filter (E-commerce, Wine Club, POS, Manual Order) to get a live on-screen view before deciding whether to export.
Most reports export as XLSX. POS > Sales Summary downloads as a PDF, and Sellable by Channel, Reserved Stock and Pending Fulfillment under Reports > Inventory are on screen only. Exports open in Excel or Google Sheets. For large date ranges, allow extra time — some reports generate in the background and require a Refresh before the download link appears.
Where your export goes. Depending on which report you export, the file either downloads straight away or is prepared in the background. A background export shows in Notifications (top right of the Admin Portal), and some reports, such as Sales by Order, also list it on a Downloads tab next to Report. When it's ready, click Download. Files save to your browser's default download location, usually your Downloads folder; you can check or change that location in your browser's settings. If an export doesn't download or doesn't show up, message us from the chat in your Admin Portal and tell us which report you exported. (The Master Sales Report uses Refresh and Download instead; see above.)
Exports wait in line. Your account's exports are prepared one at a time, so if someone on your team has started a large export (for example a full history), yours may wait until it finishes. Check Notifications before exporting again.
