This guide walks through how to:

  • Export Wine Club members with failed payments

  • Notify them to update their payment information

  • Reprocess their order once updated

Step 1: Locate the Open Package

  1. Navigate to the Wine Clubs tab in the Corksy Admin Portal.

  2. Select the specific Wine Club you are processing.

  3. Click into the Open Package for the active shipment.


Step 2: Export Members with Failed Payments

  1. Inside the Open Package, select the Errors tab.

  2. Export the list of members with failed payments.

  3. Use this export to notify members via Klaviyo, Mailchimp, or your preferred email platform.

This allows you to send a targeted message only to members whose payments failed.


Step 3: Direct Members to Update Their Information

Your email should instruct members to:

  1. Regain access to their account (if needed).

  2. Update their payment method and/or shipping address on file.

Step 4: Reprocess the Order

Once a member updates their payment information:

  • They will automatically move into the Ready to Reprocess tab.

  • From there, you can attempt to reprocess their order.


Best Practices

  • Send error notifications as soon as possible after processing.

  • Include clear, step-by-step instructions in your email.

  • Consider including a direct login link in your message.

  • Monitor the Ready to Reprocess tab daily until all orders are cleared.
