How POS Logins Work: Terminal Login vs. Staff PINs

Overview

The Corksy POS uses a two-layer login system. The terminal itself is connected to your Corksy account by the Corksy team during setup — you don't need to manage that side. What your team manages day-to-day is the individual POS Users: staff members who log into their own sales session using a personal 4-digit PIN. Staff only ever need their PIN to use the POS; they don't need an email address, password, or access to the admin portal.


The Two Layers Explained

Layer 1: The Terminal Account (Set Up by Corksy)

When your POS terminals are set up, Corksy creates and connects terminal accounts that are matched to your devices. This is handled on your behalf — your staff don't need to log the terminal in or out. Terminals use a "Remember Me" setting so they stay connected without requiring a fresh login each time the device is opened.

Layer 2: The Staff PIN (POS Users, Used Daily)

Once the terminal is connected, each staff member logs in to their own sales session using their personal 4-digit PIN. This is all they need. Corksy tracks which staff member processed each transaction based on which PIN was used, which feeds into POS sales reporting by associate.

POS Users are created and managed from the admin portal — but staff never need to log into the admin portal themselves.


Creating a POS User (Staff Member)

  1. Go to Settings → Point of Sale → POS Users

  2. Click Create User (or Add User)

  3. Enter the staff member's name

  4. Assign a unique 4-digit PIN

  5. Click Save

The staff member can then log in to any POS terminal at your location using their PIN. No email address or password is required.


Changing a Staff PIN

PINs can only be changed from the admin portal — they cannot be changed from within the POS terminal itself.

  1. Go to Settings → Point of Sale → POS Users

  2. Find the staff member and click to edit their record

  3. Enter a new 4-digit PIN

  4. Click Save

If a staff member forgets their PIN, a manager with admin portal access can look it up or reset it here.


POS Sales by Associate

Because each transaction is tied to the PIN used to log in, Corksy can report on sales broken down by staff member. You can find this under Reports → POS — look for the sales by associate report to see transaction volume and totals per staff member.

This makes it easy to track performance, review individual transactions, or investigate discrepancies.


Common Questions

Do staff need an email address to use the POS?
No. POS Users only need a name and a 4-digit PIN. Email and password are not required.

Can a POS User access the admin portal?
No. POS Users can only access the POS terminal. If someone needs both POS access and admin portal access, they need two separate accounts — a POS User record and an Admin User account. See Admin Users vs. POS Users: What's the Difference?

How many POS Users can I have?
There's no limit — you can create a POS User for each staff member who needs to process sales.

Can two staff members share a PIN?
Technically yes, but it's not recommended — the PIN is how Corksy attributes sales to a specific staff member. Sharing a PIN means sales can't be tracked per person in reporting.
