Wine Club Shipping Rates: Viewing and Updating

How to find, update, and manage wine club shipping rates — including what changes mid-batch and best practices for avoiding surprises.

Each wine club tier in Corksy can have its own flat shipping rate for club shipments. This article explains where that rate lives, how to update it, how the rate connects to the actual shipping method on each order, and what to keep in mind when making changes.


Where Club Shipping Rates Live

Shipping rates are configured at the club level, not the batch level. Each club tier has its own independent rate.

  1. Navigate to Clubs in the Corksy Admin Portal.

  2. Select the club you want to review.

  3. Scroll to the Club Shipping Rate field under Club Settings.

If this field is empty, the club uses your standard shipping rates instead of a flat club rate.

Important — the rate figure is a display value, not the shipping method. The dollar amount in the Club Shipping Rate field is what shows to members; it does not by itself assign a shipping method to their orders. Every shipping member still needs a shipping method assigned to their order, and this does not happen automatically. If a club order shows a "Shipping method is not set" error, that's the cause — a rate figure exists, but no method is assigned. You build the actual rates/methods in the back end (for example an entry like UPS Ground – Every 12 Bottles – $0) and then assign one to each shipping member.

Assigning a shipping method to club members

You can assign shipping methods in bulk from the package:

  1. Open the club package.

  2. Filter to the shipping members.

  3. Use the Shipping column → Assign shipping method to set the method for the selected members.

A member with no shipping method assigned can't be processed until one is set, even if the club's rate figure is filled in.


How to Update a Club Shipping Rate

  1. Navigate to Clubs in the Corksy Admin Portal.

  2. Select the club tier you want to update.

  3. Update the Club Shipping Rate field with the new amount.

  4. Click Save.

The new rate takes effect immediately for any orders generated after saving.


Who Can Change Club Shipping Rates

Any admin user with access to the Clubs section of the Corksy Admin Portal can edit club settings, including shipping rates. There is no separate permission required.

If you're seeing unexpected rate changes, check with other admin users on your team — any admin who has edited club settings may have updated the rate.


What Happens to In-Progress Batches

Changing a club shipping rate does not retroactively update orders that have already been generated in an open batch. Specifically:

  • Orders already created in the current open package keep the rate that was active when they were generated.

  • The new rate applies to any orders generated after the change is saved — including new members added to the batch or batches created in the future.

⚠️ Tip: To apply a rate change consistently across an entire batch, make the update before generating the batch. If you need to update the rate for orders already in an open package, contact [email protected] for assistance.


Investigating an Unexpected Rate Change

If you notice a club's shipping rate has changed unexpectedly (for example, rates shifting between batches), here's how to investigate:

  1. Navigate to Clubs and open the affected club tier.

  2. Check the current Club Shipping Rate value.

  3. Compare it against the rate shown on previous batch orders — open a closed package and look at a processed order's shipping charge.

  4. If the rates differ and you can't identify who made the change, reach out to [email protected] with the club name, old rate, new rate, and approximate date of change — the team can look into the change history.


Best Practices

  • Assign shipping methods before processing. Confirm every shipping member has a shipping method assigned so orders don't error out at processing.

  • Change rates between batches, not during them. Update the rate after closing one package and before opening the next to keep charges consistent across a shipment.

  • Communicate changes to members. If you're raising the shipping rate, consider notifying members via email before the batch processes. Members can see shipping charges in their account and may contact you if the amount differs from what they expected.

  • Document rate changes. Keep an internal record (even a simple spreadsheet) of when rates were changed and by whom. Corksy doesn't currently display a change log for club settings within the admin portal.

  • Review rates before each batch. Before generating a new package, spot-check the shipping rate on each active club tier to confirm it's set correctly.
