Admin User Roles and Permissions

Overview

Corksy uses a role-based permission system for admin portal users. You can create custom roles with exactly the permissions you want, then assign those roles to individual staff members. This lets you give someone access to, say, only website customization — without exposing orders, wine club settings, or financials.

Note: Admin portal users and POS users are managed separately. This article covers admin portal users only. For POS user setup, see POS Users.

Step 1: Create a Custom Role

  1. Go to Settings → Admin Users → Roles

  2. Click + Create Role

  3. Give the role a name (e.g., "Website Editor", "Wine Club Manager", "Read Only")

  4. Toggle on only the permissions this role should have

  5. Click Save

You can create as many roles as you need and reuse them across multiple users.

Step 2: Add an Admin User

  1. Go to Settings → Admin Users → Users

  2. Click Create User

  3. Enter the person's name, email, and set a password

  4. Select the Role you want to assign them

  5. Click Save

The user can then log in at admin.corksy.io and will only see the sections their role permits.

I Don't See "Admin Users" in Settings

The Admin Users menu only appears for users who have permission to manage admin users and roles. If you don't see it, your current login doesn't have that level of access.

To get access, someone who already has admin user management permissions needs to update your role — or the account owner needs to do it.

If nobody on your team can see Admin Users, this usually means the account's original admin credentials aren't being used. See the section below on finding the account owner.

Finding the Account Owner

Corksy doesn't display an "account owner" label in the UI, but the account owner is typically the person who set up the Corksy account originally. To identify them:

  • Go to Settings → Store Information and check the Store Contact Email — this is usually tied to the account owner

  • Check internally for whoever handled the initial Corksy setup or onboarding for your winery

If the store contact email belongs to someone who's no longer with your team, contact Corksy support to regain access.

Tips

  • You can edit an existing role at any time — changes apply immediately to all users assigned that role

  • If you want to give someone temporary access (e.g., for a seasonal hire), you can disable their user account rather than deleting it, preserving their settings for reactivation later

  • Roles only control admin portal access. POS PIN and POS user permissions are managed separately under Settings → Point of Sale → POS Users
