Order Editing Restrictions by Payment Status

Overview

Not all orders in Corksy can be edited after they’ve been placed. Whether an order is editable depends on its payment status and payment method. This article explains which statuses lock an order from editing, what you can still do (like issue a refund), and what workarounds exist.

Edit & Refund Availability by Payment Method & Gateway

Editing and refunding also depend on the payment method used and your payment gateway. Before an order can be edited it must be unfulfilled — if it’s a tasting-room pickup order, change it to unfulfilled first. The table below assumes the order is already unfulfilled.

Gift card payments cannot be edited or refunded. Some gateways restrict edits or refunds regardless of order status. If what you see differs from this table, contact [email protected].


Apple Pay and Google Pay Orders

Orders placed using Apple Pay or Google Pay cannot be edited after they are placed. This is a limitation of how digital wallet payments work — the payment token is generated at the moment of checkout for a specific order total, and Corksy cannot modify the authorization after the fact.

What you can do:

  • Refunds are fully supported. You can issue a full or partial refund on an Apple Pay or Google Pay order the same way you would any other order: open the order → Actions → Refund.

  • If you need to make a product or address change, the best path is to refund the original order and have the customer place a new order with the correct details.


What To Do When an Order Can’t Be Edited

If an order is locked from editing and you need to make a change, your options depend on what needs to change:

  • Shipping address change: Contact [email protected] — in some cases the fulfillment partner can update the address before shipping.

  • Product swap or quantity change: Refund the original order and create a new manual order with the correct items.

  • Discount or price adjustment: Issue a partial refund for the difference. You cannot retroactively apply a discount to a locked order.

  • Adding a note: Notes can be added to any order regardless of payment status. See Managing Notes on Orders.


How to Issue a Refund

  1. Go to Admin Portal → Orders

  2. Open the order

  3. Click Actions → Refund

  4. Enter the amount to refund (full or partial) and confirm

Refunds are processed back to the original payment method. Digital wallet refunds (Apple Pay, Google Pay) return to the card on file in the customer’s wallet.
